Team management and role permissions

Dashly uses a three-tier role system designed to give teams meaningful access control without the complexity of enterprise permission matrices. Every member of a workspace has exactly one role, and roles are assigned at the workspace level - not per-project.

The three roles

DASHMASTER

Full administrative control. Maximum 2 per workspace.

Can

Create, edit, and delete all projects

Invite and manage all team members

Assign and change member roles

Edit company settings and industry

Revoke invitations

View and run all tools

Link calculations to projects

Access the full audit trail

Remove members from the workspace

Exceed the 2 DASHMASTER limit per workspace

DASHKEEPER

Operational role with full project and tools access. The standard role for active team members.

OBSERVER

Read-only access. For stakeholders, auditors, or clients who need visibility without the ability to change anything.

DASHMASTER LIMIT

There can be a maximum of 2 DASHMASTERs per workspace. This is enforced at the database level. If you need to promote someone to DASHMASTER, one of the existing two must first be downgraded to DASHKEEPER.

Inviting team members

How to send an invitation

  1. Navigate to Dashboard → Team
  2. Click Invite Member
  3. Enter the email address of the person you want to invite
  4. Optionally enter their full name - this personalises the email (“Hi Sarah, you've been invited...”)
  5. Select their role: DASHMASTER, DASHKEEPER, or OBSERVER
  6. Click Send Invitation

Dashly sends an email with a secure, time-limited invitation link. The link is valid for 7 days.

Managing pending invitations

Pending invitations appear on the Team page with a status badge. You can:

  • Resend - extends the invitation expiry by 7 days and re-sends the email. Use this if the invitation expired or was missed.
  • Revoke - cancels the invitation before it is accepted. The link in the email becomes invalid immediately.

What happens when they accept

The invitee clicks the link and either creates a Dashly account (new users) or signs in (existing users). New users are directed to a profile completion step where they confirm their name and add a job title. Once complete, they land in your workspace with the assigned role.

EXISTING DASHLY USERS

If someone already has a Dashly account and is a member of another workspace, accepting your invitation adds your workspace to their account. They can switch between workspaces from the sidebar without creating a new account.

Changing member roles

DASHMASTERs can change the role of any other team member without removing and re-inviting them. Go to Settings → Team - each member row shows a role selector. Choose a new role from the dropdown and the change takes effect immediately.

Role change constraints

  • You cannot change your own role - a second DASHMASTER must do it.
  • You cannot demote the only DASHMASTER - promote another member first.
  • You cannot promote to DASHMASTER if two already exist in the workspace.

Multi-workspace

A single Dashly account can belong to multiple workspaces simultaneously. Each workspace is completely isolated - projects, tools, and data in Workspace A are not visible from Workspace B, even if you are a member of both.

Switching workspaces

The workspace switcher appears in the top of the sidebar. Click it to see all workspaces you belong to and switch between them. Switching triggers a page refresh to ensure complete data isolation.

Creating a new workspace

Any Dashly user can create a new workspace at any time. You become the first DASHMASTER of the new workspace. Creating a workspace does not affect your membership in any other workspaces.

Leaving a workspace

Go to Settings → Workspace and click Leave Workspace. You will need to confirm. Leaving is permanent - you will need a new invitation to rejoin. DASHMASTERs cannot leave a workspace if they are the only DASHMASTER; they must promote another member first.
